Applicants should have true design and communication flair evidenced through a strong portfolio and project track record. Excellent presentation and communication skills are essential. Ideally you should have experience of working on UK residential projects, with a working knowledge of UK regulations and guidance, and with excellent written and verbal communication in English. It is an advantage if candidates live and work, or have worked, in the UK. Applicants must have the necessary Visas to work in the UK and a National Insurance Number - GRID cannot sponsor or obtain work permits.

We have a new opportunity for a Receptionist, with some previous experience of a similar role, to join a 50+ architectural practice in a restored 19th century warehouse adjacent to the Tate Modern in Southwark (connections to Southwark/Waterloo/London Bridge/Blackfriars stations).

You will be solely responsible for Front of House which will include the following duties:

  • Answering and screening telephone calls
  • Meeting and greeting visitors
  • Booking and managing meeting room (including catering)
  • Assisting with the monitoring and ordering of office supplies together with general admin support
  • Booking couriers
  • Binding documents for presentations
  • Maintaining a safe and clean reception area and meeting room
  • Sorting and distributing post
  • General admin support such as letters and meeting minutes
  • Additional tasks may involve travel arrangements, research, arranging presentations and internal events. The job description could expand, dependent on experience and ability, to HR and Finance. You will provide support to the Office Manager and occasionally directly to the design teams.

Essential skills required:

  • Excellent customer facing skills
  • Excellent verbal communication skills and the ability to follow telephone protocols

  • Proficiency in Microsoft Office - Adobe InDesign or/and Photoshop knowledge would be an advantage

We have a new opportunity for an Administration and Finance Assistant with proven experience to join a 50+ architectural practice in a restored 19th century warehouse adjacent to the Tate Modern in Southwark (with connections to Waterloo/London Bridge /Blackfriars).

You will undertake general administration tasks under the instruction and supervision of the Office Manager and Bookkeeper and will have relevant experience, preferably within a design practice. We are looking for a talented multi-tasker who can remain calm under pressure while always presenting a professional, happy face to staff and visitors.

You will play an integral role in the smooth running of our offices and will need to possess outstanding administrative skills coupled with a talent & passion for efficiently managing a variety of tasks.

Specific duties of the role include:

  • Monitoring accounts mail box
  • Aiding with fee schedules, aged debtors and updating cashflows
  • Ensuring month-end and year-end tasks are completed in line with the required timetable
  • Logging incoming sales invoices and ensuring supplier payments are made on time
  • IT log, interfacing with IT Consultants and be responsible for re-desking
  • Management of project numbers
  • Assisting with management of cleaning and maintenance companies and any office relocations
  • Maintaining and ordering office supplies and equipment
  • Researching and organising company travel arrangements (UK/Overseas) and events
  • Assisting in dealing with general accounts and invoice queries
  • Answer incoming calls and assume other receptionist duties when needed

Essential Skills required:

  • Good standard of education (minimum of 5 GCSEs including English and Maths)
  • Excellent organisation skills
  • Experience in a busy office administration role with basic finance knowledge
